1. Who we are
Voxarus AI Systems is a trading brand of Popawala Chemicals B.V., which is the data controller for the personal data described in this policy.
2. Scope
This policy applies when you visit voxarus.com or voxarus.nl, request a demo or trial, communicate with us, become a customer, or use a Voxarus AI voice, chat, review, messaging, booking, marketing or automation service.
Where a business customer uses Voxarus to process personal data about its own leads or customers, that business is normally the controller and Popawala Chemicals B.V. acts as processor under the applicable service agreement and data processing terms.
3. Personal data we collect
- Identity and contact details, such as name, business name, email, telephone number and address.
- Trial, sales and account data, including website, business requirements, appointments and support history.
- Communications, including emails, messages, call metadata and, where enabled and lawfully disclosed, call recordings or transcripts.
- Service content processed through AI agents, such as enquiries, booking details, chat messages and review responses.
- Billing and transaction metadata. Card details are handled by the payment provider and are not stored by Voxarus in full.
- Technical and usage data, such as IP address, device, browser, log data, cookies and interactions with our websites and services.
4. Why we use personal data
- To provide demos, trials, subscriptions, onboarding, support and requested services.
- To configure, secure, monitor and improve AI agents and automations.
- To communicate about accounts, bookings, service changes and relevant business offers.
- To process payments, maintain business records and meet legal obligations.
- To prevent fraud, misuse, security incidents and service disruption.
- To analyse website and service performance, subject to cookie and consent requirements.
5. Legal bases
We rely on performance of a contract or pre-contractual steps, compliance with legal obligations, our legitimate interests in operating and improving a secure B2B service, and consent where required—for example for certain marketing, optional cookies or call recording. Consent can be withdrawn at any time without affecting earlier lawful processing.
6. AI and automated communications
Our services may use artificial intelligence to respond to enquiries, assist with bookings, generate suggested content, classify messages and automate follow-up. AI output can be incomplete or inaccurate and should be reviewed where decisions could materially affect a person. We do not intentionally use the website service to make solely automated decisions producing legal or similarly significant effects.
7. Service providers and transfers
We may use vetted providers for CRM and automation, cloud hosting, AI processing, telephony, email, WhatsApp or other messaging, analytics, security and payments (including Stripe where applicable). They may process data only for the agreed service and under contractual safeguards. Where data is transferred outside the European Economic Area, we use an adequacy decision, Standard Contractual Clauses or another lawful transfer mechanism.
8. Retention
We retain data only as long as needed for the stated purpose. Enquiry and trial records are generally kept for up to 24 months after the last meaningful interaction; service data is kept during the customer relationship and for a limited period afterwards; security logs are normally kept for up to 12 months; and invoices and financial records are kept for the statutory Dutch retention period, generally seven years. A longer or shorter period may apply where required by law, a contract, a dispute, security needs or customer instructions.
9. Your GDPR rights
Subject to applicable conditions, you may request access, correction, deletion, restriction, portability or objection, and may withdraw consent. Send requests to [email protected]. We may verify your identity before responding. You may also complain to the Dutch Data Protection Authority, Autoriteit Persoonsgegevens, at autoriteitpersoonsgegevens.nl.
10. Security, cookies and children
We apply organisational and technical safeguards appropriate to the risk. No internet service is completely secure. Our websites may use essential cookies and, with consent where required, analytics or marketing cookies. Our B2B services are not intended for children under 18 and we do not knowingly solicit their data directly.
11. Changes
We may update this policy when our services or legal obligations change. The effective date above shows the latest version. Material changes will be communicated where appropriate.

2. Toepassing
Dit beleid geldt wanneer u voxarus.com of voxarus.nl bezoekt, een demo of proefperiode aanvraagt, met ons communiceert, klant wordt of gebruikmaakt van onze AI-diensten voor spraak, chat, reviews, berichten, boekingen, marketing of automatisering.
Wanneer een zakelijke klant Voxarus gebruikt voor persoonsgegevens van eigen leads of klanten, is die klant doorgaans de verwerkingsverantwoordelijke en handelt Popawala Chemicals B.V. als verwerker volgens de dienstverleningsovereenkomst en verwerkersafspraken.
3. Welke gegevens wij verwerken
- Naam, bedrijfsnaam, e-mail, telefoonnummer en adres.
- Gegevens over demo, proefperiode, account, website, afspraken, wensen en ondersteuning.
- Communicatie, waaronder e-mails, berichten, belmetadata en—waar geactiveerd en rechtmatig gemeld—opnamen of transcripties.
- Inhoud die via AI-agenten wordt verwerkt, zoals vragen, chats, boekingen en reviewreacties.
- Factuur- en transactiemetadata. Volledige kaartgegevens worden door de betaalprovider verwerkt.
- Technische gegevens zoals IP-adres, apparaat, browser, loggegevens, cookies en gebruiksgegevens.
4. Doeleinden en grondslagen
Wij gebruiken gegevens om demo's, proefperiodes, abonnementen, onboarding en ondersteuning te leveren; AI-agenten veilig te configureren en verbeteren; account- en servicecommunicatie te verzenden; betalingen en administratie uit te voeren; fraude en storingen te voorkomen; en prestaties te analyseren. De grondslagen zijn uitvoering van een overeenkomst of voorbereidende stappen, wettelijke verplichtingen, ons gerechtvaardigd belang bij een veilige B2B-dienst en toestemming waar die vereist is.
5. AI en geautomatiseerde communicatie
AI kan vragen beantwoorden, boekingen ondersteunen, inhoud voorstellen, berichten classificeren en opvolging automatiseren. AI-uitvoer kan onjuist of onvolledig zijn en moet worden gecontroleerd wanneer een beslissing aanzienlijke gevolgen voor iemand kan hebben. Wij gebruiken de website-dienst niet bewust voor uitsluitend geautomatiseerde besluiten met juridische of vergelijkbaar ingrijpende gevolgen.
6. Leveranciers en internationale doorgifte
Wij kunnen gecontroleerde leveranciers inzetten voor CRM, automatisering, hosting, AI, telefonie, e-mail, WhatsApp of andere berichten, analyse, beveiliging en betalingen, waaronder Stripe waar van toepassing. Zij mogen gegevens uitsluitend voor de overeengekomen dienst verwerken. Bij doorgifte buiten de EER gebruiken wij een adequaatheidsbesluit, EU-modelcontractbepalingen of een ander rechtsgeldig mechanisme.
7. Bewaartermijnen
Wij bewaren gegevens niet langer dan nodig. Aanvragen en proefgegevens worden doorgaans maximaal 24 maanden na het laatste relevante contact bewaard; servicegegevens tijdens de klantrelatie en een beperkte periode daarna; beveiligingslogs doorgaans maximaal 12 maanden; en facturen en financiële administratie gedurende de Nederlandse wettelijke bewaartermijn, doorgaans zeven jaar.
8. Uw AVG-rechten
U kunt, voor zover van toepassing, verzoeken om inzage, correctie, verwijdering, beperking, overdraagbaarheid of bezwaar en u kunt toestemming intrekken. Mail naar [email protected]. Wij kunnen uw identiteit controleren. U kunt ook een klacht indienen bij de Autoriteit Persoonsgegevens via autoriteitpersoonsgegevens.nl.
9. Beveiliging, cookies en kinderen
Wij nemen passende technische en organisatorische maatregelen. Geen internetdienst is volledig veilig. Onze websites kunnen noodzakelijke cookies gebruiken en, waar toestemming vereist is, analyse- of marketingcookies. Onze B2B-diensten zijn niet gericht op personen jonger dan 18 jaar.
10. Wijzigingen
Wij kunnen dit beleid aanpassen wanneer onze diensten of verplichtingen veranderen. De ingangsdatum bovenaan toont de nieuwste versie.
